Non-Book Lending - System Setup

_____ 1. Identify your local Materials to Circulate

                Definition: Non-book materials include, but are not limited to video
tapes, audio tapes, music or data CDs,
                slides, phonotapes, LP albums,
microforms.
 
                Each site needs to decide which non-book materials will be
requestable through PCIRC. This can be done
                either title by title or
by material format.
 
                For example, sites may have some video tapes they want to circulate,
while other video tapes will not
                circulate. In this situation, the site
may need to create a new local ITYPE for circulating video tapes. By
               
using local ITYPES, local sites have a lot of flexibility when deciding what to make available.
 

_____ 2. Add newly created local ITYPES, if any, to your local ITYPE table.

_____ 3.* Add new OhioLINK circulating ITYPES to your local ITYPE table.
 
                · Note: ALL Sites, even those not lending, MUST complete this
step AND step 7.

                Two new OhioLINK ITYPES have been created for circulation of non-book materials. The first is ITYPE 208,
                which should be used
for Media. ITYPE 208 should point to the new Media Loan Rule. The second is
                ITYPE 209, which should be used for microforms. ITYPE
209 should point to the existing OhioLINK
                Institutional Loan Rule.
 

                If you have microforms already mapped to ITYPE 200 (book) and have been circulating those through
                PCIRC, you are not required to
change these to ITYPE 209 since both use the same Institutional Loan Rule.
 

_____ 4. Map circulating Local ITYPES to OhioLINK circulating ITYPES

                Send your local ITYPES of circulating
Media to support@ohiolink.edu. Indicate which local ITYPES are to
                be mapped to the central
site ITYPES 208 or 209.
 

_____ 5. Create local Item records for circulating non-book materials.
 
                Each item that circulates via PCIRC, MUST have an item record, and
a bar code for off-campus check-out.
                Local non-book materials
without item records will need to have local item records created.
                
Please Note: Be sure the Status Code in the item record has a status of “-” (the status III has defined as
                available). Like books,   
only items with an available status can be requested through PCIRC.
 

                TIP: ICODE2 and BCODE3 also must have a status of “-” (the status III has defined as display at central.)
                Items or Bibs with a
status of “z” in either one of these fields DO NOT display in the Central Catalog.
 

_____ 6. Enter the OhioLINK Notice Texts in your local Notice Text file.

                Notice texts need to be entered in local system before adding the new Media (Institutional) Loan Rule
                since notice text numbers differ
at every institution, and these text numbers are used as part of the loan rule.
 

_____ 7.* Add Media Loan Rule to Local Circulation Tables

                · Note: ALL Sites, even those not lending, MUST complete this
step AND step 3.
 

                A new Media Loan Rule has been established by ICS. This is the rule that governs the check-out of media
                to off-campus borrowers. This
needs to be added to local circulation tables.  Please Note: Circulating media
                will be mapped to this new (7 days)
loan rule; circulating microforms will be mapped to the existing
                
Institutional Loan Rule (21 days).
 

_____8. Add or update PTYPE 210 to local PTYPE table.
 
                Like initial PCIRC implementation, local sites will first come up in a
test mode. During this time, only test
                patrons with PTYPE 210 will
be permitted to request materials. If PTYPE 210 is not already included in
                your local PTYPE table, it will need to be added.

 
                Also, be sure to add or update test patrons in your local patron
database.
 

_____9. Update local Rule Determiner Table

                The entries that you make in this table will depend on your local ITYPES, PTYPES, and Loan Rule numbers.
                Instead of trying to
create loan rules for every OhioLINK institutional branch (location), you should try wild
                card locations, and place the OhioLINK rules at
the beginning of your Rule Determiner Table.
 

                Rules of Thumb to remember:
 

                · Your local media ITYPES combined with central site PTYPES = Media (Institutional) Loan Rule.
                  (NOTE: when testing the only 
central site PTYPE listed with your local itypes should be 210.)
 

                · Your local PTYPES combined with central site ITYPE 208 = Media (Patron) Loan Rule. (NOTE: when testing
                  the only local 
PTYPE associated with ITYPE 208 should be 210.)
 

                · Your local microform ITYPES combined with central site PTYPES = current book (Institutional) Loan Rule.
                  (NOTE: when
testing the only central site PTYPE listed with your local itypes should be 210.)
 

                · Your local PTYPES combined with central site ITYPE 209 = current book (Patron) Loan Rule.
                  (NOTE: when testing the only
local PTYPE associated with ITYPE 209 should be 210.)
